Mentor's Contract

Adult mentors are an important part of our Mentorship program. Mentors are college students at SUA whereas mentees are underage students in Colegio Soka do Brasil. With most mentoring taking place on the Internet, we can use electronic communication to eliminate the challenges imposed by time, distance, and disability that are characteristic of in-person mentoring. Frequent electronic communications and personal contacts bring participants together with mentors to facilitate academic, career, and personal achievements.

 

As a mentor you offer the following:

  • Information
    Mentors share their knowledge, experiences, and wisdom.
  • Challenges
    Mentors stimulate curiosity and build confidence by presenting new ideas, opportunities, and challenges.
  • Support
    Mentors encourage growth and achievement by providing an open and supportive environment.
  • Goal Setting
    Mentors help mentees discover talents and interests and define and attain their goals.
  • Advice
    Mentors guide mentees in reaching academic, career, and personal goals.
  • Role Models
    By sharing stories of achievement with mentees, mentors can become role models.

All mentors in this program are volunteers, and we know that mentoring takes a lot of time. The following are some guidelines to follow when considering whether you have the time and the willingness to be a mentor.

  • Log on at least once per week to meet with your mentee and read and respond to electronic mail messages.
  • Respond to every personal message sent to you by participants or program staff.
  • Send a greeting to new participants.
  • Communicate with other mentors; act as a resource when possible.
  • Attend other program events whenever possible, and encourage other participants to attend events.

Code of Ethics:

The present Code of Ethics contains the guidelines for the behavior of program mentors AND coordinators. As leaders, we would like us all to uphold the following vision for our obligations:

Leadership Obligations

  1. To regard the safety of the young people in our program as our primary professional duty.
  2. To hold ourselves personally responsible for our professional conduct.
  3. To maintain an objective, non-possessive, non-judgmental professional relationship with our volunteer mentors and mentees.
  4. To adhere to the confidentiality of all records, material, and knowledge concerning the persons we serve and to use in a responsible manner the information obtained in the course of professional relationships.
  5. To work cooperatively with other persons and to have respect for their areas of competence.
  6. To not discriminate on the basis of disability, race, color, religion or sexual orientation.
  7. To make a commitment to assess our personal and vocational strengths and limitations, biases and effectiveness.
  8. We maintain the willingness and ability to recognize when it is in the best interest of those we serve to refer him/her/them to appropriate resources.
  9. To take personal responsibility for continuing our professional growth through further education, supervision or training regardless of level of authority.
  10. To be totally committed to providing the highest quality of care through our professional efforts and by utilizing any other services which may assist our mentees and their families generally upon approval of the program coordinators.

"Netiquette"

Safety is an important issue for anyone using the Internet but even more so for minors. It is important that we teach our young people how to identify potential danger and avoid it. Participants are told not to give out personal information to people they do not already know and not to respond to electronic messages that they receive from anyone if they are not comfortable with the content. They should immediately report offensive or troubling electronic mail messages to their parents and/or program staff. As a mentor, please follow these electronic guidelines:

  • All communication between mentors and mentees should be conducted through DIG’s moodle website email or chat functions (collegeprepjapan.com ). Mentors and mentees should not share personal contact information (such as social media accounts, phone number, email address etc) and should not initiate communication in a third-party platform.
  • Do not participate in conversations that would not be acceptable to the parents of your mentees and/or staff. Remember that program participants are minors!
  • Do not engage in conversations that you are not comfortable with. Immediately report offensive or troubling electronic mail messages that you receive to the program coordinators.
  • Remember that an electronic mail message is easy for recipients to forward to others and, therefore, is not appropriate for very personal messages—it's more like a postcard than a sealed letter.
  • Be respectful of your mentees and their communication/personality styles. Ask if there is a way to accommodate them in the way you communicate.
  • Do not use words others might find offensive, and avoid personal attacks or name calling.
  • Make sure that all of your meetings are being properly recorded to ensure your and your mentees safety.

Unethical Conduct

A mentor is considered to have breached the Code of Ethics if they have:

  1. without reasonable cause, witheld a service or failed to give information about availability of a service, or neglected to render or complete a professional service after undertaking to do so
  2. failed to respect the privacy and dignity of a client through divulging confidential information without consent, except when required by professional or legal obligations
  3. violated the legal rights of others
  4. treated a client with disrespect
  5. abused a position of authority or a professional relationship to the detriment of persons served or of colleagues
  6. generally conducted themselves in a manner inconsistent with or in violation of, the statements contained under “Leadership Obligations” and “Netiquette”

Breach of the Code of Ethics will be severely investigated by DIG International and Colegio Soka do Brasil and may result in expulsion from the program and legal actions.
